Information you give us

You may give us information about you at the point that we are appointed as your advisers. You may be asked by us to provide documentation to comply with Anti Money Laundering requirements as well as signing our formal letter of engagement. You might also fill in other forms such as, HMRC authority forms, bank mandates, forms on our website, use social media logins and/or other plugins, sign up to attend a seminar/event. You will also correspond with us by phone, email or otherwise. This includes information you provide in the early stage of our relationship and might include when you subscribe to our email newsletter or use some of the social media functions on our website.

The information you give us may include (but is not necessarily limited to):

• your personal name and address;
• your business name and address;
• your email address;
• your phone number;
• your photograph;
• your financial records (including HMRC references);
• details of your family; and
• authority to act as a third party with certain agencies.

Information we collect about you when you visit our website

Should you visit our website, we may automatically collect the following information and by accepting these terms, you provide your express authority for this data to be collected and used by us:

• technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;
• information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time); products you viewed or searched for; and
• page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.

As part of the service offered to you, we may receive information from third party providers such as HMRC, about you.

Purposes for collecting data

All data collected by us will be used for the lawful purposes of providing you with our services. We will only ever process your personal data once you have provided your express consent for us to do so by accepting these terms.

Your data will be used for the purposes of providing services as set out in our terms of use. We will also use your data in relation to analytics and regulatory purposes and may provide your data to trusted third parties for the express purpose of carrying out these tasks.

Your rights

You as a data subject have several rights under the UK GDPR with regards the control, usage and storage of your date. You have the right to:

• a copy of your personal data that we hold on our records;
• request that we correct any inaccurate data held by us;
• request a copy of your personal data for the purposes of transferring it to another data controller; and
• object to the processing of your data by us for a legitimate purpose carried out by us or an authorised third party.

Where any such request is made by you, we will provide you with a response within 30 days from the date of receipt of your request.

We will require you to confirm your identity prior to responding to any request received. Where your identity cannot be verified we will reject your request.

Right to be Forgotten

You have the right to be forgotten. At any time, you may contact us and make a formal request for your personal data as held by us to be deleted and erased from our records in accordance with the UK GDPR. Any such request must be made in writing and can be sent to us via post or by e-mail at info@pivotaccounting.co.uk

Upon receiving your request, we will review our records and delete your personal data within 30 days of your request. If you do make such a request you will be agreeing to terminate your agreement with us and end your usage of our service immediately. This does not include data that we are legally obliged to keep a record of.

• to carry out our obligations arising from the contract entered between you and us;
• to provide you with the information, products and services that you request from us; and

All information you provide to us is stored on our secure servers. Unfortunately, the transmission of information via the internet is not completely secure.
